Student and PTS Payday Schedules

The State of Oklahoma is in the process of discontinuing the printing of paychecks.

A new State law in Oklahoma (74 O.S. 292.12) requires all state agencies-- which includes NWOSU-- to enroll every employee in the Direct Deposit program.  Sign up is easy--just bring a voided personal check to Debbie Ackerman, Room 102 of Herod Hall.  If you use a debit card, call 580-327-8175 or 327-8173 for further instructions.

Direct Deposit is a free "GREEN" benefit and provides security and peace of mind each payday.  In the past, when an employee lost a real paycheck, they had to wait weeks for a replacement from the State of Oklahoma.  We never know when bad weather will close our offices on payday, so Direct Deposit is a "win-win" free fringe benefit for Payroll and everyone who works for NWOSU.

Enid workers--see the Business Office for sign-up.

Woodward--see the Administrative Assistant in the Dean's Office.

Student (E&G/Workstudy) and Part-time Staff ("PTS") paystubs are now online and accessible through Rangernet by the employee, and are protected by passwords.  For technical assistance, call Jase Day in Information Technology at 580-327-8611.

Employees can ask for hands-on demonstrations in the Alva Human Resources Office at a special computer work station set aside for their use only...see below.

Important Note:

Part-timers sometimes forget to hand in their time sheets before leaving for a holiday or break.  Government regulations will not allow our office and the Financial Aid Office to "cross over" semesters on a given payroll, so time sheets received on time, and in the semester worked, will receive priority treatment.

Attention E&G/Work Study/Part-Time Staff ("PTS"):
The Excel version of the time sheet adds hours for you and calculates gross pay instantly for each day worked. Just click on the hyperlink below and save the worksheet on a diskette to use each month, or in a folder on your hard drive if you have a work station.

Hint:  Some computers may ask for a username and password to open the file.  Clicking Cancel usually works.  After opening the file, you may have problems saving directly to a diskette.  If so, just try right-clicking the hyperlink below and choosing "save target as."   This should allow you to pick a location to save the time sheet for easy use each month.

You may be at risk of identify theft if you enter your Social Security number before saving the time sheet.   Students and other part-timers are asked to never place more than the last 4 digits of their Social Security numbers on the electronic time sheets.

Excel Electronic Part-time Time Sheet

If you do not have access to Excel, call 327-8175 or 327-8173 for advice.

Any part-timer or supervisor wanting a hands-on demonstration of the electronic time sheet is welcome to come to Human Resources, Room 102 in Herod Hall.

It's as easy as point-click-type-save-print.  We have an extra computer and desk set up just for visitors.

Call Debbie Ackerman (HR Clerk) today to set up an appointment:

Part-time workers should print out the below time schedule and post in their work area to avoid missing payroll deadlines.  In order to promptly pay workers who meet deadlines, the NWOSU Payroll Office must hold late time sheets until the next available payroll, and much longer at the end of semesters.  Please help us pay you on time!

The Payroll Office can no longer "hold" a paycheck for missing information or paperwork, so time sheets for workers with incomplete paperwork must be delayed until the next available payroll processing period after completion.   Human Resources/Payroll staff are frequently audited--not only for accuracy but also for completeness in required paperwork.  There are heavy fines imposed by the government for non-compliance.

NOTE: If you work from a Temporary Employment Action form ("TEA"), you are referred to as "Part-Time Staff" or "PTS."  The supervisor is responsible for preparing this hiring form and forwarding through the administrative signature route for approval.

(Part-time teachers are referred to as "Adjunct Instructors.")  Call Debbie at 580-327-8175 for payroll information if you are hired under this category.

All non-student new hires must successfully pass a criminal background screening before being approved for placement on Northwestern's payroll.

Attention PTS (Part-time Staff) and Adjunct Instructors

Have you ever wished you could set aside money for your retirement--payroll-withheld on a tax-deferred basis?

If you are a non-student part-time employee, call 580-327-8530 and ask for more information about the RUSO (Regional University System of Oklahoma) 403b tax-deferred program with Lincoln Financial Group.  It's easy and it pays off when you need it most--at retirement time!

Lincoln has an attractive line-up of funds to consider.  All dividends, earnings, and interest accumulate tax-deferred until withdrawn.

Contact Cheryl Ellis at 580-327-8530 or in Human Resources for more information.

"I personally signed up for this withholding program in 1983, at only $25 per month, and have never regretted it.  It has been exciting watching my account grow through the years!"  --Joyce Garvie, Human Resources Director
